🚀 Avima Product Update – New Documents, Permissions 2.0 & Boards Improvements

November 2025

Since our last demo in late August, the Avima team has delivered a broad set of user-facing improvements across New Documents, Permissions, Pricing Support, and Boards.

This update reflects our continued focus on:

  • Completing Phase 2 of New Documents

  • Strengthening security foundations

  • Aligning the product with our new pricing model

  • Evolving Boards as the default Q&A workflow

Here’s what’s new 👇


📂 New Documents – Phase 2 Progress

We’re continuing the journey toward making New Documents the preferred workspace for administrators.

🔖 Document Title as Browser Tab Title (PDFs)

PDF viewer now shows the actual document name in the browser tab — instead of embedded PDF metadata titles.

This resolves confusion when PDF metadata doesn’t match the file name.


🕘 Version History in New Documents

You can now view and open previous document versions directly from the History tab in New Documents.

This mirrors the Classic Documents behavior and was a key piece of Phase 1 feedback.


📐 Remember Column Width & Folder Tree Size

If you expand:

  • The folder tree

  • The document name column

Avima now remembers your preference.

A small UX improvement — but based on real usage data showing users frequently widen these panels.


🔁 Create Alias in New Documents (Feature Toggle)

Users can now create aliases directly in New Documents, using the Copy tool.

Currently released behind a feature toggle — we welcome feedback before wider rollout.


🔐 Permissions 2.0 – Security Foundations

Driven partly by enterprise requirements, we’ve continued improving authentication and security alignment.

📧 Show Email in Member Selection

When adding members to projects, dropdowns now display:

  • Full name

  • Email address

This avoids confusion when users share similar names.


📱 Admin Cannot Directly Change User Phone Numbers

Admins can now only initiate a phone number change.

The user must confirm via secure email link.

This strengthens security and prepares for future MFA alignment.


🔄 MFA Moving to Account Level

We’ve started aligning authentication methods (SMS, email, BankID, future authenticator app) at the account level rather than per platform.

This simplifies multi-workspace users and increases consistency.


💰 Product Support for New Pricing Packages

As part of our Good/Better/Best packaging rollout, we’ve added internal product support for clearer transparency.


👥 Avima Managers Page (Workspace Level)

Workspace admins can now see:

  • All Avima Managers (cost-driving roles)

  • Admin type (Project / Workspace)

  • How many contracted vs. assigned

This gives much-needed visibility into license-driving users.


📊 Improved User Details View

In user details:

  • You now see which groups a user belongs to per project

  • You can click directly into project-level user details

A long-awaited clarity improvement.


🏷️ Price Package Field in Admin Tool (WAT)

Workspaces can now be classified as:

  • Standard

  • Pro

  • Enterprise

  • Custom

This supports internal analytics and prepares for automated packaging logic.


🔘 New Feature Toggles for Pricing

Multiple new toggles were added to support package configuration:

  • Boards & Timeline

  • Document Types & Attributes

  • Document Templates

  • Document Sets

  • Desktop Editor Add-on

These toggles primarily control visibility and future enforcement logic.


📋 Boards 2.0 – Strengthening Q&A Workflows

Boards continues evolving as the preferred Q&A and task management module.


You can now link tasks within the same board.

This allows better structuring of:

  • Related questions

  • Dependencies

  • Follow-up workflows


URLs pasted in:

  • Task descriptions

  • Document descriptions

Automatically become clickable hyperlinks.

A simple but impactful workflow improvement.


✏️ Task Panel Stays Open After Save

When creating a task, the task panel now remains open after saving.

This reduces friction during multi-step editing.


🎨 Improved Ellipsis Menu Icons

Small UI enhancement: clearer icons in contextual menus.


🗑️ Recycle Bin Alignment

Document Recycle Bin now aligns visually and behaviorally with Boards Recycle Bin.

We continue harmonizing UI patterns across modules.


🛠 Other Improvements

  • Export display files allowed in Classic (customer-requested)

  • Issue assignment dropdown now only shows users with access to the Issue list

  • Multiple backend improvements connected to authentication and pricing support


🎯 Strategic Direction

This release reflects Avima’s broader roadmap:

  • 📂 Completing New Documents Phase 2

  • 🔐 Strengthening security & authentication foundations

  • 💰 Aligning product structure with packaging model

  • 📋 Expanding Boards toward default Q&A workflows
